Key Duties and Responsibilities
- Supervise, coordinate, and manage all drivers to ensure compliance with company policies, transport procedures, road safety regulations, and operational requirements.
- Plan, assign, and monitor daily vehicle movements, transport schedules, routes, and driver assignments to ensure efficient utilization of the fleet.
- Maintain full operational control over all company vehicles and drivers to prevent fuel theft, unauthorized vehicle use, misuse of company assets, and other forms of operational losses.
- Monitor fuel consumption, fuel issuance records, mileage reports, and vehicle tracking systems to identify irregularities, investigate variances, and implement corrective actions.
- Conduct regular inspections of vehicles, fuel records, spare parts, tools, and equipment to ensure accountability and safeguard company assets.
- Establish and enforce vehicle inspection procedures before, during, and after each trip to ensure vehicles are operated safely and responsibly.
- Investigate and report all vehicle accidents, incidents, traffic violations, fuel discrepancies, and operational losses, and recommend appropriate corrective and disciplinary actions.
- Monitor driver performance, attendance, discipline, and adherence to company policies, and provide recommendations regarding rewards, disciplinary measures, training, and performance improvement plans.
- Conduct regular driver meetings, toolbox talks, and safety briefings to reinforce compliance with transport regulations and company standards.
- Ensure all drivers possess valid driving licenses, statutory certifications, and other mandatory documents required for their duties.
- Oversee the mechanical condition of all fleet vehicles and ensure defects are identified, reported, and resolved promptly.
- Coordinate preventive maintenance programs, routine servicing, inspections, and repairs to minimize downtime and extend vehicle lifespan.
- Diagnose and assess vehicle mechanical issues and coordinate with mechanics, workshops, suppliers, and service providers to ensure timely and cost-effective repairs.
- Monitor maintenance costs and repair activities to ensure value for money and prevent unnecessary expenditure.
- Supervise the procurement, issuance, utilization, and control of spare parts, tyres, batteries, lubricants, and other fleet-related consumables.
- Maintain accurate records of vehicle servicing, repairs, spare parts usage, fuel consumption, insurance, licensing, and statutory inspections.
- Ensure all company vehicles comply with legal, regulatory, insurance, and roadworthiness requirements at all times.
- Coordinate transit and cross-border transport operations and ensure compliance with customs, transport, and regulatory requirements.
- Monitor vehicle tracking systems, trip reports, and route performance to improve operational efficiency and security.
- Prepare and submit periodic reports on fleet performance, fuel consumption, maintenance costs, vehicle utilization, driver performance, accidents, and operational risks.
- Recommend and implement measures to improve fleet efficiency, reduce operating costs, prevent losses, and enhance overall transport performance.
- Liaise with management, clients, suppliers, workshops, and regulatory authorities on matters relating to fleet operations and transport activities.
- Ensure compliance with occupational health and safety requirements and promote a safe working environment for drivers and transport personnel.
- Perform any other duties related to fleet and transport management as may be assigned by Management from time to time.
Qualifications & Skills
- Certificate, Diploma, or Bachelor's Degree in Transport Management, Logistics and Supply Chain Management, Fleet Management, Mechanical Engineering, Business Administration, or a related field.
- Minimum of five (5) years of progressive experience in fleet management, transport operations, logistics, or a related field, with at least two (2) years in a supervisory role.
- Demonstrated experience in supervising drivers, managing fleet operations, and coordinating vehicle movements and transport schedules.
- Strong practical knowledge of heavy-duty truck operations, fleet utilization, and transport planning.
- Proven experience working with Chinese truck brands, particularly FAW and Dongfeng trucks, including familiarity with their operational and maintenance requirements.
- Sound mechanical knowledge with the ability to identify vehicle faults, monitor vehicle condition, coordinate preventive maintenance, and oversee repair activities.
- Good understanding of truck spare parts, inventory control, and maintenance record management.
- Experience coordinating transit cargo, cross-border transportation, and route management
- Comprehensive knowledge of transportation regulations, road safety standards, axle load requirements, and traffic laws applicable to commercial transport operations.
- Strong leadership, supervisory, and performance management skills, with the ability to effectively manage drivers and transport personnel.
- Good analytical, problem-solving, and decision-making skills.
- Strong communication and interpersonal skills with the ability to interact effectively with drivers, clients, suppliers, and regulatory authorities.
- Good command of English and Swahili, both written and spoken.
- Proficiency in Microsoft Office applications, particularly Excel and Word.
